The edition for private practices
The Healthcare Edition holds the date, never the diagnosis.
A recall programme is a question about data before it is a question about marketing. This page opens on the record itself, because what Vivalto holds about your patients decides whether anything else on this page is worth reading.
Start here
The whole record, field by field.
This is the shape of a patient record inside this edition. The left column is what Vivalto holds. The right column is what stays in your practice system and is never copied across.
Vivalto holds
Vivalto never holds
A reminder that says why is a reminder that leaks.
Everything in the right column stays in the system your clinicians already use. The message this edition sends says a visit is due and offers a way to book it, and it says that without knowing a single clinical fact.
What it actually runs
Five programmes a practice already runs by hand.
None of these is a campaign. Each one is a date arriving, which is why this industry needs a different engine setting from a retailer and not a different word for the same one.
The recall, counted from the visit
A recall is not a date on a calendar you pick. It is the last visit plus the interval your clinician set for that patient, recalculated every time they attend. The engine counts towards a due date the same way it counts any amount towards a target, with a date in place of an amount.
The missed appointment, with a limit on chasing
A patient who does not attend is followed up once, then once more, and then left alone. The cap is the feature. A tool that keeps sending until someone books is the tool a practice turns off after a fortnight.
The course of treatment left half finished
A plan of six visits, stopped after two, is the most common quiet loss in a private practice. Vivalto counts visits against the agreed course and notices the gap on the day it opens rather than at the year end.
The plan, and what the member has used
A monthly dental or health plan is a subscription with entitlements. Two hygiene visits a year, unused by October, is a member about to decide the plan is not worth it. That is a counter, and counters are what the engine is.
Consent, and the moment it is withdrawn
Withdrawing consent stops every programme for that patient at once, not at the next run. That is one rule, and it has to hold across every channel and every list without anyone remembering to apply it.
The line
Your practice system stays the record. Vivalto keeps the clock.
This is the same split in every edition. The system that owns the thing of record keeps it, and Vivalto keeps the logic that acts on it. Only the nouns change.
- Read. Your practice system tells Vivalto that a visit happened and on what date. It sends no clinical detail, because none is needed.
- Count. Vivalto adds the interval and holds the due date, and moves it every time a new visit lands.
- Check. Before anything is sent, the consent held against the patient decides whether it goes at all, and on which channel.
- Act. The reminder goes out through the sender you already use, and says only that a visit is due.
- Record. What was sent, and what the patient did next, lands on the record. Booking the appointment stays a job for your practice system.
Read this before you ask us for a proposal
Four things we settle before anything is switched on.
Health data carries duties, and the four below are the ones a practice manager and a data protection officer are entitled to have answered in writing rather than on a web page.
Your data protection officer writes the field list, not us
The record card at the top of this page is where we start the conversation, not where we finish it. We go through it field by field with your own officer before a line of the connection is built, and a field they say should not travel is a field the edition is configured without.
You are told exactly where the installation runs, in the agreement
Which machine, in which country, and who on our side can reach it. Those are facts about a deployment, they belong in a signed agreement where you can hold us to them, and we will not put a version of them on a marketing page instead.
Nothing clinical is decided here
The recall interval comes from your clinician and Vivalto counts the months. It makes no judgement about a patient, sorts nobody by clinical risk and is not a medical device.
A request for clinical data has nowhere to land
This is the practical value of the right-hand column. Because the edition holds no diagnosis, no treatment and no note, there is no clinical content in it to disclose, to lose or to be asked for. The strongest thing we can offer a practice is the shortness of that list.
Who this edition is for
Practices that own their own recall list.
The buyer is a practice manager or a group operations lead who already knows how many patients went quiet last year, and has no way to act on it before they are gone.
DENTAL AND ORTHODONTIC
Groups running a monthly plan
Recalls, plan benefits and courses of treatment, all counted on one record.
OPTICAL, AUDIOLOGY, PHYSIO
Practices on a fixed interval
A due date per patient that moves itself, instead of a list rebuilt by hand.
THE FIRST PIECE OF WORK
The link to your practice system
We build the connection to your practice system with your team, and it is the first thing we build.
What a practice asks first
The four questions that come up every time.
Do our clinical records leave our practice system
No. The record card at the top of this page is the whole list of what travels, and every clinical field is in the column that stays put.
If a field in the left column still worries your data protection officer, it comes out. The edition is configured per practice, and a field nobody needs is a field nobody should hold.
What happens the moment a patient says stop
Consent is held on the patient record, per channel, and every programme reads it before it acts. Withdrawing it stops the programmes at once rather than at the next scheduled run.
Can this edition book the appointment
No, and it should not. Your practice system owns the diary, the clinician's time and the room. Vivalto carries the patient to the booking screen your practice already uses and records what happened next.
How is this different from the reminders our software already sends
Practice software reminds a patient about an appointment that exists. This edition acts on the patient who has no appointment at all, which is the group a practice loses and the group nobody has a list for.
